Calligraphy Harrogate Terms and Conditions

By making a deposit payment and placing an order with Calligraphy Harrogate, you are accepting the following terms and conditions. Throughout this document, ‘we’ and ‘us’ will refer to Calligraphy Harrogate, and ‘you’ to the client.


Quotes are valid for fourteen days from the date of issue.

Deposits and Payment

Calligraphy Harrogate require a 50% deposit to be paid before any work commences on your order, with the balance owing on completion and prior to shipping. Invoices are to be paid within 7 days.

For Weddings, following acceptance of our written quotation, we require a non-refundable deposit of £100 to secure your date in our diary, with the remaining balance of the 50% deposit due before work commences.

We prefer to be paid by BACS, and our account details will be on your invoice. Other forms of payment can be discussed but additional processing fees may apply.


Should you need to cancel and work has commenced on your order then no refund can be given as everything is tailored to you. Naturally, should for any reason Calligraphy Harrogate need to cancel then a full refund of any monies paid will be given.


Ordering and minimum quantities

Our minimum order quantity of eight is applicable to the following items – menus, table names and table numbers.

Our minimum order quantity of thirty is applicable to the following items – wedding invitations, Save the Date, RSVP cards, information cards, orders of service and place cards.

We can supply smaller orders, but prices will need to be adjusted accordingly and will be more expensive.

Please note that table names are only available to clients ordering a table seating plan from Calligraphy Harrogate.


Extra materials

Please order sufficient spare stationery with your original order as the cost per item for subsequent extra items following receipt of order will be significantly more expensive than the prices listed. If we are handwriting items for you then we ask that you provide us with 15-20% extra materials. This is to accommodate last minute changes, ink issues and human error.



All information supplied to Calligraphy Harrogate must be in final draft form and accurate. You will be sent PDF proofs throughout the design process and whilst we will take meticulous care with your order, it is your responsibility to check these carefully to ensure you are happy with the layout, dates, grammar, colour, wording and spelling. Once a written sign-off is received from you then printing can commence. By signing-off the proofs you are accepting full responsibility for all layout, wording and information as shown. Subsequent errors found after signing-off will be charged as extra, at £35/hour, and may affect delivery time – particularly during busy wedding season.


Supply of your guests’ Information

Once your guest list is confirmed, Calligraphy Harrogate can begin to create your Table Seating Plan and Place Cards. The information necessary to complete this must be with us at least four weeks prior to your wedding date to allow time for everything to be produced, printed and delivered in good time.   Please provide details of names in a basic list format, for-example in Word, one name per line, with a line break between names. Please also leave a single space between first and last names. Calligraphy Harrogate cannot be held responsible for errors based on information you have provided. Please do double-check all spellings before you send the information to us as any additional work we have to do as a result of client error is charged at £35/hour with a minimum of one hour’s work.

We will aim to have your complete order of ‘On the Day Stationery’ delivered one week prior to your Wedding date.

Address lists

For envelope addressing services please ensure that information supplied is typed up (not handwritten please) in the exact format, including titles, you wish us to produce in calligraphy. This information would preferably be presented in a table format.

Turnaround Time

Our standard turnaround time from acceptance of quote, and receipt of signing off of any PDFs, as required, is between 3-4 weeks, but may be longer depending on our schedule and the size of the order. We will advise you accordingly when we issue you with your tailored quotation. Allow yourself plenty of time so you can enjoy the process and not feel rushed.

Rush Fee

We can sometimes accommodate last minute orders, however, a discretionary rush fee may be charged of 20%. 



Orders may be collected in person, or can be delivered within the Harrogate postcode. Alternatively, we will use Royal Mail Special Delivery which is tracked and insured.  All items will need to be signed for. Larger items will be sent via Courier and the charge will be based on weight and distance and will be invoiced accordingly. Unfortunately Calligraphy Harrogate can accept no responsibility for items lost or damaged in the post, or delays caused by strikes or other circumstances out of our control.

Designs and Copyright

All designs are copyright of Calligraphy Harrogate. You, or a third party, are not permitted to copy or reproduce our designs in any way. Designs that feature small ornamental trims will not be suitable for children.

Printing and colour variations

Please note that colour on your screen will appear different to the printed version, therefore we advise you to print off any PDFs prior to approving them. Due to the printing process small variations in colour can occur between print runs. If you have provided a colour swatch, every effort will be made to match it as closely as possible.


Payment is required in full prior to the date of the Workshop. No refunds are given, however, we will do our best to accommodate you at a future date. Please do not wear light, delicate clothes as, once dry, ink is waterproof.

Social Media

We love to capture our work on film to add to our portfolio of images. We share these images on our website, with potential clients, on marketing material, and through social media. We may show first, or full names, but never addresses, and they will usually be shared after your event has passed. Should you have any concerns please do let us know and we will naturally honour any restrictions you may have.
